Remove the routines keeping your team busy

Copying information, checking spreadsheets and repeating the same decisions can consume an entire role. I investigate the work, choose the right approach and build automation that gives your people useful capacity back.

A repeated task can become a full-time workload

Businesses often add staff to keep up with processes that have never been properly connected. Somebody checks orders against payments, reformats product data, creates labels, compiles reports or moves information between systems all day.

I spend time with the people doing that work. We establish what triggers the task, which rules they apply, where judgement is needed and what happens when something is wrong. That reveals where a script, integration or internal tool can remove substantial handling.

The opportunity is broader than making an existing task faster. We can redesign the workflow so information is entered once, approved rules are applied consistently and people concentrate on the cases that need their attention.

Choose useful automation opportunities

We prioritise routines by frequency, time consumed, error costs and the effort required to automate them. Suitable starting points include:

  • Order and payment checks, stock updates, labels and document generation.
  • Product-data preparation, categorisation and consistency checks.
  • Recurring reports, management dashboards and data reconciliation.
  • Supplier files, imports and transfers between ecommerce and business systems.
  • Customer-support triage, draft responses and access to relevant order information.
  • Internal applications that replace repeated spreadsheet handling.

The proposed workflow must fit the actual operation, including exceptions, responsibilities and information quality.

Use conventional rules and AI where each fits

Known order rules, financial calculations and approved data transfers need explicit, testable behaviour. Conventional software is well suited to those tasks. AI can help when the input varies, such as product text, categorisation suggestions, translation drafts or summaries of customer messages.

I design the whole process, including the information supplied to the tool, the output expected and where staff approval is needed. Variable generated content is reviewed according to its use before it changes a live catalogue or reaches a customer.

My work combines development and integrations with AI-assisted tools. The recommendation explains why the chosen approach fits your task and what it will cost to operate.

Make the pilot prove its value

A pilot uses representative tasks and difficult examples. We compare the full working process with the current routine, including preparation, checking and corrections. This reveals whether the automation removes work or merely moves it elsewhere.

We agree the success measures before expanding the setup: time per task, completed work, correction rates, running costs and the quality the business needs. Where AI is involved, usage limits and suitable review steps are part of the design.

Data requirements, permitted processing locations and access are agreed with you. Staff should understand what the tool does, what it cannot decide and how to handle an exception.

Deliver a workflow people can use every day

I can build the application, connect it to your systems, test it with the team and introduce it into daily work. Delivery includes useful error information, operating notes, training and a handover.

A fixed routine needs a clear route when information is missing or another system is unavailable. An AI-assisted process needs a way to review uncertain output. Those details make the difference between a demonstration and a tool that earns its place in the business.

Ongoing maintenance, monitoring and improvements can be separately arranged. Your own technical team can also take responsibility after handover.

Experience with substantial operational automation

My previous CTO role included connected picking, barcode checks, courier labels, stocktaking, goods-intake and claims tools. Across that wider programme, manual work equivalent to three full-time roles was removed and those people moved into other roles.

The same approach applies beyond the warehouse: understand the working process, remove unnecessary steps, connect the information and give the team a dependable way to manage exceptions.

Find the opportunities across the business

The £1,500 Ecommerce & Operations Audit is a useful starting point when several departments rely on repeated manual work. It connects automation opportunities with sales, operational bottlenecks and costs, then provides an actionable roadmap. Building the tools is separately paid.

You can also bring one defined task for a direct project. A free discovery meeting lasting 30 to 45 minutes lets us discuss how it works and what a better process could look like. I’m based in Bournemouth, with on-site work across Dorset and through to Southampton. Consultancy is £80 per hour, with project quotes available.

Do we have to choose an AI product first?

No. Show me the task and the result you need. We can choose the approach after understanding the process, information and constraints.

Can an entire manual routine be automated?

Yes, where the decisions and information support it. We identify any judgement or exceptions that still need a person and build a clear route for them.

Can you deliver the tool rather than just advise?

Yes. I can design and implement the workflow, integrate it with your systems, train users and provide operating notes.

What keeps someone busy that software could handle?

Bring a routine your team repeats every day. We’ll explore the scope for a simpler process and useful automation in a free discovery meeting.
